Sage Catering - Policies

The following policies have been developed to allow you to host a successful event at Cal Poly. They were developed to assist you in making decisions on your menu, theme, and guests. Placing Your Event Order

To place a catering order, please allow for enough time to set up and confirm your orders. Sage needs the following lead time to book an order:

  • 7 business days before the event for AM/PM Breaks, Lunches, Dinners, and Receptions
  • Final guest count should be called in 3 business days prior to the event (this final guest should not be more than 10% up/down from the original count). Major shifts in the guest count may incur a fee and is the decision of Sage Catering to assess the fee.
  • 3 business days before the event for order cancellations or changes (without incurring a fee)

There is a minimum order of $50.00 for all Sage Catering orders occurring on Monday-Friday and $100.00 for all orders occurring on Saturday or Sunday.

Sage Catering provides linens for tables with buffet, food, and beverages. Additional linens may be reserved through Sage for an additional cost.

Sage Catering has rooms for rent within the dining operations on campus. Ask your sales agent for prices and availability.

A final guest count is required at least 3 business days (Monday-Friday) prior to an event. Changes made after this deadline will include a $35.00 fee to cover the cost of last minute sourcing and scheduling. If the actual guest count is greater than the amount confirmed, Sage cannot guarantee that adequate quantities will be available for all guests.

Orders placed in less than 7 business days of the event date will incur an additional fee of $35 to cover costs, rescheduling staff, and sourcing products from vendors.

Payments in full must be sent to Sage Catering at least 3 business days (Monday- Friday) prior to an event. If this does not occur, the client acknowledges that the event order is cancelled.

Attendant Staffing and Set Up

Sage Catering will provide professional and friendly attendants at your event for a cost of $25.00 per attendant. Certain types of catered events require the use of attendants, based on the following criteria:

  • One attendant per every 50 guests
  • One attendant per every 15 guests for plated meals
  • $25 or 10%, whichever is greater, for delivery orders

The Sage Catering staff will arrive prior to the designated start time in order to allow adequate time to set up your event. Please have the doors unlocked and the room/area setup with the necessary table and furniture so that there are no delays.

We will provide additional staff at the request of the client for a fee of $25.00 per attendant.

Food Safety

Providing quality, safe food is our highest priority. Sage makes sure that hot and cold foods are kept within safe temperature ranges. If you anticipate that the event may go longer than the specified time frame, please make special arrangements with the catering sales representative prior to the event.

Leftovers

To protect your health and prevent food-illnesses from occurring, the catering staff will remove all perishable foods from the event. Any nonperishable items (i.e. baked goods) may be taken at your own will. Sage does not provide to-go containers, platters, baskets, or bags.

Cancellations and Fees

Orders cancelled within 3 business days of your event will receive a processing fee of 10% of your total bill. Orders cancelled within 24 hours of your event will be charged a 20% restocking fee and 100% of any for your event.

Equipment may not be taken from the event. Any missing equipment will be billed to the customer.

Clean Up

The appropriate attendants are scheduled to clean up after the event, which is based on the time specified by the client. If a client asks Sage to come back later than the scheduled event end time, an additional fee of $35 is applied to cover the cost of calling in additional staff.

Bar Service

Bar service must be ordered at least 10 business days in advance of the event date to allow for adequate time to submit a wine order waiver to the appropriate department for approval prior to the event. The client must secure all alcohol themselves and bring to the event one (1) hour prior to the event start time. Alcohol is only served to guests 21 years of age and older.

WINE, SPARKLING WINE, AND BEER SERVICE includes the following items per person: white wine glass, red wine glass, sparkling wine flute, beer glass, and water glass. This service also includes openers, ice, and set up. $4.00 per person (20 person minimum)

NOTE: Bartenders are $25.00 per hour with a two hour service minimum. One bartender per 50 guests or less will be scheduled for your event unless specified otherwise.

Missing Equipment Fees

Any missing equipment will be billed to the client hosting the event.

Billing

Payments in full must be sent to Sage at least 3 business days (Monday- Friday) prior to an event. If this does not occur, the client acknowledges that the event order is cancelled.

On campus departments will receive invoices via E-mail. Non university affiliated customers and student groups must submit a purchase order from ASI or the State, depending on where your account is located.
